The Company:
Our client is a well renowned and respected Restaurant business with exciting plans to grow its estate across different formats.The Position:
Reporting to the Head of Property & Business Development, the Senior Facilities & Maintenance Manager will work closely with the property team in all administration and planning of maintenance tasks ensuring work is scheduled when required, costs are tracked and budgets adhered to across all levels of property, reactive, proactive/planned and restaurant Capex spend.Other key responsibilities and duties will include
- Maintain and ensure the property maintenance system (ProNett) is fully updated – ensuring completed works are closed on system, statutory documents uploaded, compliance certificates are in date etc.
- Release callouts and quotes according to requirements and ensuring budgets are maintained.
- Report on emergency callouts to Directors and liaise with contractors to ensure jobs are attended to in timely manner.
- Create weekly and monthly reports of R&M jobs and spend against budget using ProNett and Excel and submit to the Business Development Director.
- Collate all quotes received and report to Head of Property & Business Development for review.
- Maintain and update the CAPEX tracker for restaurant assets and extension of life maintenance work and report to Head of Property & Business Development for review and sign off.
- Oversee and manage the tasks of the P&AM Assistant.
- Review the works on the system by Restaurants and Support Office, highlight to the site management team and contractors when jobs have not been actioned within the agreed timescale.
- Liaise with site teams where further information on callouts are required as requested.
- Allocate work to external contractors when required.
- Monthly reporting of the PMV matrix with planned maintenance schedules and compliance activities to ensure all Restaurants are legally compliant.
- Raise Purchase Orders for suppliers when required.
- Co-ordinate with site teams managing contractors on and off sites.
- Maintain and update property records and files on the shared drive with new information and reports in a logical manner.
- Review food audit inspection reports identifying any building/maintenance issues.
- Log jobs and file certificates of any external contractors outside of ProNett.
- Asset inputting on ProNett and track any warranty callout requests.
- Overseeing the maintenance at Support Office.
- Support Head of Property & Business Development to effectively project manage all the operation aspects of key projects such as refurbishments in current locations and new restaurant fit outs.
- Ensuring the company fire and security records are up to date and where appropriate, organise training for restaurant/office teams.
- Ensure the Company licensing and planning lawyers for all new sites, all legal requirements, including DPS by site and any required changes within the current estate.
- Identify areas where costs can be reduced or operational efficiency can be gained or refined, developing proposals to improve efficiency working with Department Head.
- Trouble shooting where required as directed by the MD.
- Delivery of ad hoc projects as requested by the MD.
The Candidate Profile
Must have a minimum of five years relevant experience in a similar role. Membership of BIFM or IOSH would be useful as would other technical qualifications, but they are not essential.The ideal Candidate should:
- Have experience and understanding of maintenance and facilities issues within a hospitality/leisure environment.
- Be able to work as part of a team, prioritise key business issues and multi-task.
- Have a good understanding of Facilities Management Systems, particularly ProNett.
- Be positive with a strong desire for continuous improvement and be service oriented.
- Have good knowledge and understanding of statutory Health & Safety compliance and Hygiene Regulations etc.
- Have previous experience with HVAC, mechanical and kitchen equipment.
- Have commercial acumen, the ability to assess risk and have an analytical mindset.
- Have strong organisational and communication skills at all levels.
- Have good Powerpoint, Excel and Outlook IT skills.
